We're Hiring: Development & Operations Associate

Friends of the Rail Park seeks an enthusiastic Development and Operations Associate to join our team. Reporting to the Executive Director, the Development & Operations Associate will support Friends of the Rail Park’s membership program and day-to-day operations. Key responsibilities of this position include membership database management and fulfillment of member benefits, managing tour bookings and rentals, and overseeing Rail Park merchandise sales and inventorying. The associate will work with the Executive Director and staff to ensure that Rail Park programs, projects, events are administered smoothly and effectively.

The successful candidate must be a proactive, highly organized solution finder; possess superior attention to detail; comfortable interacting with the public via email, telephone, and in person; able to handle multiple tasks and complete work within given deadlines; have excellent oral and written communication skills.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Development (70%)

  • Oversee the execution of 3-4 fundraising and membership campaigns annually, targeting various constituencies and members of FRP’s community
  • Serve as the primary point of contact for members and provide a high level of customer service
  • Prepare and execute membership gift acknowledgements and cards, renewal notices, other membership-related correspondence, and annual giving acknowledgements
  • Fulfill member benefits; respond to inquiries and member needs as appropriate
  • Generate and maintain monthly reports to track progress towards organizational goals and the success of acquisition, renewal, retention, and upgrade strategies. Suggest tactics for course correction as needed
  • Utilize Kindful to manage constituent lists for membership and annual campaigns; gift entry and record keeping processes related to membership and annual giving
  • Contribute membership and annual giving content for the annual report, organization-wide communications, mailings, e-mails, and invitations
  • Prospect research

Operations & Administration (30%)

  • Process invoices and contracts, and track certain expenses
  • Share, collect, and process releases, evaluations pre- and post-event or program
  • Manage merchandise inventory and order fulfillment
  • Track supplies and equipment and reorder as necessary
  • Develop administrative systems and optimize office operations
  • Manage special event and tour inquiries, scheduling, and calendars
  • Maintain highly organized and accurate administrative tools, folders, files, work plans, and master schedule
  • Provide administrative support to projects, programs and events as needed
  • Establish record keeping templates and archiving systems for Committee and Board meetings
  • Support the preparation of meeting agendas, supplemental materials and follow-up as needed
  • Update or edit documents, and contracts from templates
  • Other duties as assigned

QUALIFICATIONS

  • Positive attitude and a willingness to learn and be coached

  • Excellent interpersonal and written communication skills
  • Ability to think and work independently with superior attention to detail
  • Comfort and confidence in a front-line role, excellent customer service and problem-solving skills
  • A creative and entrepreneurial thinker interested in discovering new ways to enhance and grow FRP’s membership base
  • Interest in collecting, sorting, analyzing, and interpreting data to maximize digital tools
  • Ability to prioritize and perform multiple tasks while meeting deadlines
  • Ability to work some evening and weekend events
  • Experience with database software and/or customer relationship management (CRM) program preferred
  • 1-2 years of experience preferred

Reports to: Executive Director

Status: Exempt, Full-time

Compensation: Salary commensurate with experience, includes benefits
